Describe the workload before choosing a schedule
A useful commercial laundry quote starts with what your business sends and when it needs the clean items back. A restaurant's washable linens, a gym's towels, and a vacation rental's bedding may need different handling, quantities, and return schedules.

Count item types and measure a normal week
List the types of laundry separately: for example, bath towels, hand towels, sheets, or other washable linens. Include fabric or care-label requirements and any special handling that affects the service.
Use actual recent weights where possible. If you only know bag or piece counts, say so rather than presenting an uncertain number as measured pounds. Mention both a typical week and busy periods. One unusually large turnover should not silently become the assumed volume for every pickup.
For businesses with more than one collection address, list each address and its workload. Eligibility and routing need to be checked for each location, even if the business name is the same.
Work backward from the clean-laundry deadline
Specify the day and time the clean items are needed, then describe when dirty laundry is available for pickup. “Twice a week” is less useful than the combination of collection days, availability windows, and return requirements.
Standard wash-and-fold service is 48 hours, with 24-hour rush when available. Same-day service is subject to location and capacity; confirm it before building a staffing or guest promise around it. A requested schedule is not confirmed simply because it appears in an inquiry.
Keep enough clean inventory for your operating cycle. Record what happens when a pickup day falls outside your normal operating hours or access arrangements change. The service team can assess the request when the constraints are clear.
Set one collection method and one contact
Include the full address, collection point, access restrictions, and the role of the person handling the handoff. Ask building staff for permission before depending on a shared desk or common area.

Make care and billing requirements explicit
Describe any separation, detergent, drying, packing, or labeling requirements. Do not assume an ordinary wash-and-fold request includes pressing, disinfection, specialty treatment, or an unconfirmed packing standard.
Ask how the quote handles ordinary laundry, separately priced items, minimums, pickup and delivery, service speed, fees, and tax. Confirm the billing contact and any reference you need to reconcile orders with invoices. Request a specific invoice arrangement if you need one; do not assume payment terms or a business credit account have been approved.
